It's a bit of both worlds. Fans are in (or try to be in) contact with a few of the creators over facebook, deviantart etc., and the creators themself (especially Daniel Ingram and Lauren Faust, as I see it) are more often than not surfing through Youtube and sites like Equestriadaily to find all kinds of new things. Lauren openly communicated with 4chan on her DA account, it was pretty funnyArticalys said:

I follow the Thiessens (one of the directors and his wife, who storyboarded Winter Wrap-up and At The Gala) on Twitter. There was casting recently for more pony voices.

The creators interact with the community on their own. Plus sneak in a few minor things into the show, too. That's how Derpy Hooves became a regular background pony. Daniel Ingram, the composer, in particular seems to enjoy the fan remixes of the music, to the point where he's actually helped some of the the remixers. Seriously though, I use a paranoid system of backing up important files across burned dvds, an external hard drive, another computer on my network and if they're small enough I'll even dropbox them or save them in my gmail.
The best defense is probably just to make sure you get a reliable hard drive and be richie rich enough to replace it before it gets a chance of going bad.
